Missing Mail search or insurance claim: prepare the right evidence
Separate parcel recovery, insurance and buyer resolution while keeping the evidence needed for each task.

A delayed parcel creates several tasks for a seller: establish the latest carrier event, respond to the buyer and decide whether a recovery request or insurance claim is appropriate. Keep each task visible in the order record. A buyer refund decision does not by itself resolve the parcel’s location or insurance eligibility.

Prepare a search file
USPS asks customers to check current tracking before a Missing Mail search. Its guidance allows a search request starting seven days from mailing and lists sender and recipient addresses, package characteristics, identifying details, contents and helpful pictures. It says recovery is not always possible. Use the verified mailing date rather than assuming the label-printing date is the same event.
Our practical recommendation is to assemble a clear contents description and packaging photographs at dispatch, then retain the handover records with the order. Keep customer details in the case file shared with the appropriate operator; publish only general examples in support articles.
Check insurance and the filing window
USPS domestic claims require an eligible insured service. The sender or recipient may file with the required evidence of insurance and value. Filing periods depend on the service and claim type; consult the current USPS table rather than treating the search-request date as the insurance deadline. For damage or missing contents, USPS tells customers to preserve the original packaging and received items for possible inspection. Keep the buyer and return records separate
When a buyer is sending goods back, track the return parcel separately from the original sale shipment. Record the warehouse’s actual receiving event before describing stock as available again. Document the refund decision and the evidence used under the marketplace rules governing that sale.
Store the search reference, claim reference and buyer-resolution record as separate fields. Set follow-up reminders around the actual case and filing window. Close each task when its outcome is known; a search acknowledgement is not a completed recovery, and a filed claim is not an approved payment.
