USPS returns & claims preparation

Keep the return order, parcel and inspection record separate from the outbound shipment.

Return authorisation

Get the merchant’s return approval and confirmed US receiving address before posting. A shipping label is not approval for a refund.

Receiving & inspection

Record arrival, count, condition and photos. Keep returned stock unavailable until restock, exchange, repair or disposal is approved.

Claim evidence

Retain label, mailing receipt, purchase value, packaging and damage photos. The eligible sender or recipient checks USPS domestic filing windows, coverage and exclusions.

Questions before the next step

Use official USPS guidance for carrier processes. Warehouse and quotation checks below are our practical recommendations.

Does a Missing Mail search mean an insurance payout?

Parcel recovery and a domestic insurance claim are separate tasks. Check the purchased service, coverage, evidence and current filing window before submitting a claim.

Can I discard damaged packaging after taking photos?

For a domestic damage claim, retain the damaged article, container, wrapping and received contents until the claim is resolved. USPS may request inspection. Keep photographs and value evidence, and check the actual service coverage and filing requirements.

The return is moving through facilities. Is the stock back in inventory?

We recommend keeping the return in transit until the receiving warehouse records actual receipt, then keeping stock unavailable until the agreed inspection and disposition are complete.
