Start with the receiving operation you already have

Your China supplier plan can connect with your existing US warehouse or 3PL. Begin with the destination and its receiving instructions, then work back to supplier readiness, Guangzhou preparation and the transport arrangement. Collect the US warehouse instructions before packing

Ask your warehouse for the receiving information that applies to the actual shipment. Provide those instructions to the China team before approving labels, cartons or pallets. Confirm which instruction version is current rather than carrying forward a format from an earlier shipment.

  • Receiving address and contact; appointment process and available receiving hours.
  • Purchase order or inbound reference, SKU list and expected quantities.
  • Carton or pallet identification, packaging requirements and any documents requested for receipt.
  • The required arrival date and the record that confirms accepted receipt.

Group supplier arrivals around an authorised release

Record supplier locations, purchase references, quantities and expected readiness dates. Decide which goods should move together and which may need a separate release. Include any agreed receiving checks, repacking or labelling tasks in the preparation instructions.

If one supplier is late, review whether to hold the batch or release ready goods. The decision should include the effect on storage, handling, transport and the receiving date. Confirm final packed weight and dimensions for the shipment being quoted; supplier estimates may describe a different packing arrangement.

Compare the complete handover scope

A transport price alone does not describe every part of replenishment. Ask the quotation to distinguish China receiving and preparation, storage if required, international transport, destination handling and delivery to the named US warehouse. Record charging units, currency, quote validity and exclusions.

Keep import-charge assumptions separately identified. Provide product descriptions and available classification and origin information for review by the importer and broker. Consolidating supplier orders does not automatically lower duties; use the applicable treatment for the actual goods and entry when comparing complete costs.

Agree who follows up on warehouse receipt and which record your team needs before treating the inventory as available for orders. Ask your existing warehouse to define the distinction between a delivery arriving, receipt being accepted and inventory becoming available in its operation.

Keep the supplier and shipment references attached to any quantity differences or receiving questions. Use the agreed records to coordinate the next arrival and release, without assuming that arrival at either warehouse authorises further handling.
