eBay and Etsy parcels: connect orders, packages and delivery records

Use a parcel record underneath the marketplace order

An order describes the buyer’s purchase; a parcel record describes what was physically dispatched. Keep both when selling through eBay and Etsy. A single order may need several packages, while a shared warehouse can hold goods for several channels. Order numbers alone do not explain every movement.

Use an internal dispatch reference alongside the platform and order number. List the SKU quantities inside each parcel, the active label reference and the carrier number. This gives the packing team and customer support a common record without depending on identical marketplace screens.

Keep the platform update with its own workflow

eBay-issued labels automatically upload tracking. For externally arranged shipments, check the carrier and tracking fields saved to the eBay order. Etsy includes tracking with labels purchased on its platform and supports adding tracking when completing orders shipped another way.

Etsy instructs sellers to set the ship date to the planned carrier handoff date. Keep that plan consistent with the warehouse release instructions, and review changes before completing the order. Avoid treating a platform notification as a physical handover record.

Make split and combined movements explicit

For split packages, list the units and carrier reference for each parcel rather than overwriting the first number with the second. Check how the current platform workflow represents that shipment before updating the buyer. Do not assume a warehouse parcel count is the same as the platform’s order count.

If the seller authorises a combined dispatch, preserve a link from each included order to the physical parcel. Confirm the address and packing instructions before combining units. The receiving or packing team should be able to explain which order supplied each item in the package.

Reconcile changes after a label has been created

A cancelled order, changed address or replacement label needs an explicit instruction to the warehouse. Record the version approved for release and retire the earlier instruction from the active queue. Keep the previous reference in the history so support can explain an older buyer notification.

Review a sample of completed orders against the warehouse dispatch list and carrier history. Look for a missing number, a label attached to the wrong parcel and an order marked complete while the package is still held. Assign each discrepancy to the team able to correct that stage.

Connect delivery inquiries and returns to the same history

When a buyer reports a problem, begin with the parcel linked to that order and its latest confirmed carrier event. Keep the inquiry and any replacement movement attached to the sale. A return should have its own inbound reference and receiving decision.
