eBay returns: link the return parcel to its original order

An eBay return travels back under its own shipping record. Link it to the original order, but keep the outbound tracking number and return tracking number in separate fields. This lets support distinguish a delivered sale from a return still moving toward the receiving address.
eBay says return postage responsibility depends on the return reason and the seller’s policy. Check the actual return request before arranging a label. Its return workflow supports supplying a label with carrier and tracking details; confirm the return address on that label.
Prepare the receiving team before the parcel arrives
Send a return brief containing the order reference, eBay return-case reference, expected SKU and quantity, return carrier number and the agreed receiving address. Include the person who can authorise the next action. A warehouse should not need access to a seller’s password to identify the parcel.
If the return contains more than one parcel, list each reference and the units expected in it. A return label can identify the transport record without explaining the contents. Record any seller-approved packing or inspection requirements in the brief.

Record a receipt before deciding what happens to the stock
On arrival, match the parcel reference to the return brief. Under the agreed receiving scope, record the visible parcel condition and count the received units. Separate an unexpected item, quantity difference or damaged unit from stock approved for dispatch.
Keep observations specific: a missing unit, a torn carton or an unmatched SKU is more useful than “return checked”. Attach photographs only where the receiving process calls for them. State what was observed and what still needs the seller’s decision.
Keep marketplace decisions with the seller
A warehouse receipt supports the seller’s review of a return. It does not itself issue an eBay refund or close a case. The seller should follow the instructions and deadlines shown in the active return request; a warehouse hold should not be treated as changing those deadlines.
If a parcel is unavailable or a reference does not match, notify the case owner with the exact discrepancy. Preserve the original return record while checking the carrier history and receiving logs. Record a corrected reference with its reason instead of overwriting the history.
Approve restocking, onward movement or disposal
Agree the permitted outcome before moving received units. Options may include an inspection, repacking, restocking, another shipment or disposal, depending on the contracted scope. Record the approving person, quantities and stock location after the action.
For Jeton-arranged receiving, confirm the destination and handling plan before the buyer sends the return. Retain the return-case link alongside the receipt and approval so a later stock count can explain where those units went.
