eBay fulfilment: check the seller account, sourcing model and stock

Start with the seller and the actual supply arrangement

Before moving an eBay order into a warehouse queue, identify the seller account, the goods being sold and how those goods are sourced. A receiving address or fulfilment quote does not establish that a listing is eligible. The seller needs to review the applicable marketplace rules and resolve account or listing questions with eBay.

eBay permits dropshipping from wholesale suppliers, but prohibits listing an item and then buying it from another retailer or marketplace to ship directly to the buyer. Its policy also leaves delivery and buyer satisfaction with the seller. Review this distinction before choosing a supply arrangement.

Create a brief that a warehouse can act on

Use the same SKU identifiers in the listing export, supplier receiving brief and warehouse stock record. Include the unit description, variant, quantity and agreed packing instructions. A listing title alone can conceal differences in size, colour or bundle contents.

For a China–US plan, distinguish goods awaiting supplier dispatch, goods in international transit and units received at the US warehouse. Ask which stock status is eligible for order release. Record the owner who approves a substitution or a partial dispatch; do not let a warehouse guess from a similar item name.

Connect each order to a label and a parcel

Agree whether the seller supplies labels or uses another authorised label workflow. Decide how the warehouse receives the file and how it reports a failed print or an address mismatch. Keep label purchase, packing completion and physical carrier handover as separate events in the order record.

For eBay-issued labels, tracking uploads automatically to the order. If another label workflow is used, the seller should confirm how the carrier and tracking reference reach eBay. Check the saved order against the number actually attached to the parcel before expanding the dispatch queue.

Test the exception paths as well as a normal order

Start with an agreed sample that represents the goods and packing required. Review a successful pick alongside a stock shortage, a cancelled order before release and an unreadable label. Decide where the dispatch pauses and who provides the corrected instruction.

  • Record a stock discrepancy against the receiving reference and SKU.
  • Hold an unresolved address or label issue for seller review.
  • Keep an approved replacement linked to the original order.
  • Give customer support the observed handover record and carrier reference.
