A useful packing record connects visible contents to an order and shows how the parcel was prepared. It can help a seller investigate a wrong-item report or describe damage. A packing photograph by itself does not establish carrier acceptance, delivery or the outcome of a marketplace case.
Agree the photographs required for the goods before packing starts. The following sequence is an operational checklist, not an eBay requirement for every order. Confirm which stages are included in the warehouse’s agreed preparation scope.
Record the units before closing the carton
Include a packing reference in the work record and show the picked units clearly enough to distinguish their SKU, variant and quantity. For bundles, record the components together with the parent order. Where relevant, record an agreed batch or serial identifier in the internal record.
Take the protection photograph before sealing the parcel. Show cushioning, separation between fragile units and any agreed inner packaging. If the required method cannot be followed, pause for an instruction instead of photographing an improvised arrangement as if it were approved.

Keep the final label and handover evidence together
Check that the final label belongs to the packed order and that the recorded weight and dimensions describe the sealed parcel. A label close-up may help resolve a mismatch, but store it with controlled access because it contains delivery details.
Record a later carrier handover separately, using the receipt or collection record agreed for that dispatch. A photograph taken on the packing bench cannot answer whether the parcel left the building. Preserve the date, parcel reference and responsible team for each stage.
If damage is reported, preserve the received materials
For an insured USPS domestic damage claim, the official guidance calls for evidence of damage, value and insurance, and retention of the damaged contents and packaging. USPS may request the materials for inspection. Packing photos can supplement that record; they do not replace the claim requirements.
Ask the seller’s case owner to distinguish photographs taken before dispatch from photographs taken by the recipient. Keep the transport history and purchase records with the case. Follow the carrier’s preservation instructions before arranging any onward movement of damaged materials.
Make the record usable without exposing buyer details
Use an internal naming pattern based on order, parcel and packing stage. Restrict access to unredacted labels and share only the material needed to investigate the issue. If a photograph is reused for training or a public article, remove buyer names, addresses and readable tracking codes.
Agree who reviews an incomplete record and how long it is retained for the business process. A missing photograph should lead to a documented review of the available evidence, rather than a recreated photograph presented as the original packing event.
