USPS dispatch manifests: match electronic records to physical handover

Reconcile the final label list, packed parcels and receiving acknowledgement so a dispatch manifest describes the batch that was actually handed over.

Build the manifest from the batch that will leave

A dispatch manifest should identify the active parcels in a particular handover. Create or reconcile the final list after resolving cancelled orders, held parcels and replacement labels. Keep the batch reference, destination carrier and parcel count visible to the collecting team.

USPS describes a Click-N-Ship SCAN form as a master barcode for associated packages, recording shipment receipt while individual acceptance can remain pending. Treat the batch event and later parcel processing as distinct records.

Match each packed parcel to its active tracking number and order. Remove entries for labels not used in this dispatch and identify any additional package. A file generated earlier in the day may no longer describe the final collection.

Retain the acknowledgement for the actual handover

Agree the receipt, collection notice or transfer evidence expected for this dispatch arrangement. Record the receiving party, time and relevant batch reference. Distinguish a handover to an international partner from a postal receipt in the US.

If a count differs, identify the affected parcels before closing the batch. Ask the sender and receiving team to explain the discrepancy using their own records. Preserve the initial list and its correction rather than replacing the history with a cleaner total.

Use the batch record in later parcel inquiries

For an acceptance-pending parcel, compare its label with the manifest and acknowledgement. For a parcel held back, explain that exception to the seller rather than attributing the absent scan to the carrier.

A useful dispatch report includes released parcels and unresolved exceptions separately. Keep the order-to-parcel links available for customer support and stock reconciliation, including any subsequently approved replacement shipment.
