eBay USPS labels: a parcel-by-parcel printing and handover checklist

Match each eBay order to its final parcel, issued label, printing method and handover record before dispatching a batch.

Start with the sealed parcel and the approved order

Before buying or sending a label to a warehouse, confirm the final destination, packed weight, dimensions and selected service for each parcel. Record any change to the order before release. The package on the bench should match the instructions used to create the label.

For a split order, keep a parcel list with the units and label reference for each package. eBay explains that separate package labels have their own tracking numbers and charges. Check the current account workflow for the order rather than assuming one code covers the entire batch.

Choose the printing route for the issued label

Select a QR printing option only where eBay offers it for the chosen service, or use the issued printable label through the agreed printing process. Keep the original file or code associated with the parcel it belongs to. A QR printing code is not a substitute for the final tracking record.

For USPS Label Broker, use a participating printing location and bring the parcel for label application at the retail window. Confirm the plan before packing a batch for drop-off. A warehouse receiving a printable file needs its own agreed instructions for print quality and label placement.

Check the physical match before release

Read the label against the order and parcel record. Check the destination, carrier service and tracking number, then confirm the label is complete and legible on the final package. Remove or obscure obsolete routing labels so the active one is clear.

For a changed order, ask the seller to approve the active label before dispatch. Record a voided or replaced label in the history and prevent the earlier file from re-entering the picking queue. Do not treat a corrected address in a spreadsheet as proof that an already issued label changed.

Record handover separately from label production

Agree how the carrier or collection partner acknowledges the parcels. Keep the actual receipt, collection reference or other agreed evidence with the batch record. Identify any package that was prepared but excluded from the handover.

A file saved, code printed or label attached is a preparation event. It does not establish where the parcel went next. After handover, compare the recorded parcel references with the carrier history and investigate discrepancies through the responsible dispatch team.

Give the seller a reconciliation record

Report the dispatched parcels, active tracking numbers and exceptions against their eBay orders. The seller should check that those are the references visible to the buyer. Keep a replacement or return parcel in a distinct record so later messages do not mix its history with the original dispatch.
