Replacement labels: keep the marketplace order and tracking history connected
Keep the original order, retired label and active replacement connected so a buyer follows the parcel that was actually dispatched.

A failed print or address correction can require a new label, but the underlying customer order should remain identifiable. Record why the replacement was requested, which parcel it covers and who approved it. Distinguish a label replacement from a second physical shipment.
Check the first label’s status in the issuing provider before treating it as cancelled. A deleted file or a closed browser window does not establish the transaction’s outcome. Preserve its number alongside the active replacement.
Build an old-to-new reference link
Connect the order, parcel, old label and replacement label in the internal record. If an order is split, identify which units belong to each package. Keep other parcels’ numbers in place rather than replacing every reference with the newest one.

Update the marketplace through the seller workflow
eBay allows sellers to edit the carrier and tracking reference saved against an order. Have the seller compare the active package number with the buyer-facing record. Keep the correction reason in the internal history.
For labels supplied to a warehouse, send a clear replacement instruction and withdraw the earlier file from the active queue. Confirm the parcel has not already been released before asking the packing team to change its label.
Reconcile the actual dispatch after the change
Compare the final package number with the handover record and subsequent carrier history. If both labels appear in an account, ask the provider to explain the transaction statuses; do not infer a refund or cancellation from which one was printed.
Tell the buyer which number now follows the dispatched parcel and preserve the earlier conversation. A replacement shipment sent later should have a separate physical movement record linked to the original order.
